Timing you set per schedule
Transfers are grouped into schedules, and each schedule has its own order, frequency and notification rules: daily, hourly, every 10 minutes, 5 minutes, 1 minute or triggered, depending on your subscription.
Reads and writes over OData
Dynamics 365 Finance is read and written over OData, which covers reading records, inserting new ones and updating existing ones. Data moves both ways rather than one system dictating to the other.
Failed transfer reporting
When a transfer fails, Rapidi emails you, and the log records every schedule and transfer run. The Rapidi wiki lists the HubSpot errors you are most likely to meet, from duplicate records to rate limits.
Reaches systems inside your network
Dynamics 365 Finance hosted by Microsoft connects directly over OData. For your own servers, or an Azure instance you control, the RapidiConnector runs inside your network and connects out to Rapidi, so Dynamics 365 Finance is never opened to the internet.
Access you authorise
You connect HubSpot from MyRapidi with Authorize, signing in to HubSpot and choosing the account yourself. Dynamics 365 Finance signs in with OAuth2 through an app you register in your own Microsoft Entra ID, with admin consent and a client secret you control.
What the setup needs on each side
The standard solution is designed to change as little as possible in HubSpot and Dynamics 365 Finance. These are the few things it does need.
- An app registered for Rapidi in Microsoft Entra ID, with the AX.FullAccess and Odata.FullAccess permissions and admin consent.
- That app added in Dynamics 365 Finance under Azure Active Directory Applications, and the environment URL entered in MyRapidi.
- One Dynamics 365 Finance connection for each company you integrate. Rapidi applies the company to every request itself, so nobody sets the dataAreaId by hand.
- HubSpot authorised from MyRapidi, then tested and read with Read Design so its objects and fields can be mapped.
- HubSpot allows up to 5 filters per transfer, source control included, so filters are planned with that limit in mind.
- No HubSpot Data Hub subscription, formerly Operations Hub.
Eight transfers, and what each one does
The seven transfers in the standard template, plus the extra objects you can add, and why each one earns its place.
1. Company to Customer
Companies and customers sync both ways. A company created or updated in HubSpot creates or updates the customer in Dynamics 365 Finance, and the other way round.
2. Contact to Contact
Contacts sync both ways and stay linked to the right customer, so neither team works from an outdated name or email address.
3. Product to Product
Products move from Dynamics 365 Finance to HubSpot, so the HubSpot product catalogue stays aligned with the ERP.
4. Product price to Product price
Product prices move from Dynamics 365 Finance to HubSpot, so quotes reflect the pricing set in the ERP.
5. Deal to Sales order
A won deal becomes a sales order in Dynamics 365 Finance. Sales stays in HubSpot, and finance gets the order without re-keying.
6. Sales order to Order
Sales orders from Dynamics 365 Finance sync to HubSpot orders, so the order number, amount and status show on the company.
7. Posted sales invoices
Posted sales invoices move from Dynamics 365 Finance to HubSpot, so sales sees invoice history without asking finance.
8. Any other object
Beyond the standard template you can add other standard and custom objects, one way or both, and adapt the mapping on screen.

Security and deployment
Your systems are never exposed to the outside world.
- Dynamics 365 Finance hosted by Microsoft connects directly over OData. Your own servers, or an Azure instance you control, go through the RapidiConnector, which sits inside your network and compresses, packs and encrypts data before it leaves.
- Encryption follows the current TLS standards, TLS 1.2 and TLS 1.3 preferred. You can use your own SSL certificate.
- One outbound port. No fixed IP addresses, and no inbound ports opened on your firewall.
- Data is processed end point to end point in memory. No customer data is stored on any Rapidi server, and configuration data is stored encrypted.
- Rapidi monitors your setup and contacts you when a server stops responding or invalid data is being exchanged.
- The connector protocol strips metadata and sends compressed binary, cutting data volume by up to a factor of 50: roughly 20 bytes per customer record instead of 1000.
