How Rapidi rebuilt Dutco Tennant’s data flow between Dynamics 365 and Salesforce

Streamlined processes, efficient data flow between systems, and quicker processing times. Integration tasks that took four to five days with custom APIs now finish in half a day.

In short

Dutco Tennant is a UAE trading and distribution company with over 400 employees, running Microsoft Dynamics 365 Finance and Operations as its ERP and Salesforce as its CRM. More than 200 Salesforce users and 300+ Dynamics users process 100+ orders a day across twelve business verticals. Their legacy APIs could not keep up. Rapidi now synchronises master, transactional and product data every 30 minutes.

About Dutco Tennant

Dutco Tennant is part of the Dutco Group, a leading trading and distribution company in the UAE, which has grown significantly over its 45-year history, expanding from a small team of two or three employees to a workforce of over 400. Dutco specialises in supplying industrial equipment for major projects, including landmarks like the Burj Khalifa and the Holy Haram Mosque expansion. Their operations span the GCC region, with a strong focus on Dubai and Abu Dhabi.

The company supplies industrial and engineering solutions across verticals from construction to networking to electrical, for a high-status list of corporate and government projects. It has contributed to world-class private and public infrastructure across the Middle East and GCC region: water and wastewater projects, airports, exhibition centres, shopping malls, networking infrastructure, hospitals, hotels, universities and offices.

The challenge

To understand the main data integration difficulties Dutco Tennant faced, we spoke with Mohammed Tabrez Ansari, Head of IT at Dutco Tennant.

The company used Microsoft Dynamics 365 Finance and Operations for their ERP system and Salesforce for their CRM. Before this, they used a legacy ERP system integrated with Salesforce via APIs, and it was unable to keep up with their growing needs.

While the systems were live and worked well, the company still faced significant challenges integrating data between these platforms. Usage of the two systems was high: 200+ Salesforce users and over 300+ users of MS Dynamics, together processing around 100+ orders each day.

Dutco Tennant’s complex business operations, involving 12+ verticals and high transaction volumes, required above all reliable synchronisation of master and transactional data. The key challenges included:

  • Integrating high volumes of data efficiently
  • Managing synchronisation errors and validations
  • Stabilising the integration setup after initial deployment

After implementing Rapidi’s solution for our ERP and CRM data synchronization, we especially enjoyed the short turnaround time of the project and a single, economical tool for multiple endpoints.

The solution

The answer was a more stable integration of Salesforce CRM with Microsoft Dynamics 365 Finance and Operations, and dependable data synchronisation between them.

Following the recommendation of one of its partners, Dutco Tennant adopted Rapidi, a no-code data integration platform, to synchronise critical data between Salesforce and Microsoft Dynamics 365. These are the types of data that needed better synchronisation:

  • Master data: customer and vendor information from Dynamics to Salesforce.
  • Transactional data: sales orders, purchase orders, and order fulfilment details synchronised between systems.
  • Order processing: real-time updates every 30 minutes to handle around 100+ daily orders across 12+ verticals.

How the integration is set up

  1. Master data synchronisation, Dynamics 365 to Salesforce. Customer and vendor master data in Dynamics 365 is synchronised with Salesforce.
  2. Transactional data synchronisation, Salesforce to Dynamics 365. Sales orders created in Salesforce go to Dynamics 365 for order processing; purchase orders are managed in Dynamics 365 for back-to-back B2B transactions; sales history such as invoices and credit notes, and payments such as ledger entries, come back from Dynamics 365 to Salesforce.
  3. Product data, Dynamics 365 to Salesforce. Product details including item prices and price groups are synchronised and updated.

Today, synchronisation is scheduled every 30 minutes to keep both systems current, supporting Dutco Tennant’s transaction volume of 100+ daily orders. This setup helps them manage operations across 12+ verticals with both systems aligned to their business processes.

Rapidi was highly responsive during the entire implementation process.

The implementation

Early on, the project faced challenges stabilising the integration, particularly around managing high data volumes and handling errors. Direct interaction with the Rapidi team was crucial to improvement and to the project’s success.

Dutco Tennant worked closely with Rapidi’s support team to stabilise the system. During implementation, the Rapidi team developed customisations addressing Dutco Tennant’s specific needs and improving system performance. Rapidi consultants also offered support and training so that Dutco Tennant’s technical team could manage integrations independently.

Over time, the platform proved a reliable route to a stable and efficient integration setup: a dramatic reduction in manual effort, with synchronisation tasks that once took days completed in hours; business processes that became more efficient and scalable, handling high transaction volumes and complex order lines; and responsive support that kept downtime minimal.

Twelve verticals, 100+ orders a day, and the 30-minute schedule behind them.

The results

  • Efficiency. Integration tasks that previously took four to five days with APIs are now accomplished within half a day.
  • Scalability. The platform handles high transaction volumes, averaging 50 to 100 daily orders with complex order lines.
  • Business continuity. Responsive support means minimal downtime and quick resolution of issues.

Dutco Tennant is now confident about future expansion. They anticipate higher transaction volumes and potential integration with additional systems, such as e-commerce platforms, on the strength of the platform’s scalability and adaptability.

Reflecting on the partnership

Tabrez Ansari describes Rapidi as “rapid, supportive, and economical” – the main advantages that led to a quick integration setup. He stressed that Rapidi reduced the turnaround time for data transfers compared with their previous experience of APIs, and highlighted the platform’s ability to quickly define and schedule data transfers, its responsive support team, and its cost-effectiveness.

Dutco Tennant now considers Rapidi an integral part of their IT ecosystem, because it lets them focus on their core business while system integration and data synchronisation take care of themselves.

It’s a rapid, supportive and economical solution that will help grow our IT ecosystem in the future due to its high scalability and adaptability.
