Software and Technology Data Integration

Software companies sell in the CRM and invoice in the ERP. Rapidi keeps the two holding the same accounts, prices and invoices, across every subsidiary, so the sales team sees what a customer has bought without a seat in the ERP.

Why software companies struggle with integration

The same problems turn up in almost every software company we are called into.

  • Account executives work in Salesforce, but invoices, credit notes and licence details sit in the ERP where they cannot see them.
  • Every new subsidiary gets its own ERP company, so what a customer is worth lives in several places at once.
  • Won deals are typed into the ERP by hand, which delays the order and invites mistakes.
  • Price lists come in several currencies and discount levels, and keeping them right in two systems is a job in itself.
  • The ERP upgrade and the CRM rollout run at the same time, and most tools want the upgrade finished first.

Each one slows the business down, and together they leave sales and finance arguing about which number is right.

Why software companies choose Rapidi

  • Decades on these systems. Rapidi has connected Microsoft Dynamics and Salesforce since long before either was in the cloud, including the versions software companies still run.
  • No code. Transfers are configured on screen, so an integration does not become a development project for your own developers.
  • Older ERP versions included. Dynamics NAV back to the early Navision releases connects, not only the current products.
  • Built for multi-entity groups. Several companies or databases can run on one setup rather than one integration each.
  • On-premise reachable. An ERP inside your own network is connected without opening inbound ports.
  • Transparent cost. Published pricing, so the budget does not depend on a scoping exercise.
  • Support from people who know both systems. An in-house team, not a ticket queue.

What you get out of it

Less manual work

Transfers run on their own, so nobody re-types a won deal that already exists in the CRM.

Invoices where sales can see them

Invoices, credit notes and sales history reach the account in the CRM.

No ERP seat for sales

The sales team looks a customer up in the CRM, and the ERP stays with finance.

Every entity in one place

Subsidiaries and their ERP companies report into the same account view.

Lower build cost

Pre-built templates instead of a bespoke interface written and maintained for you.

Room to grow

Add a company or a system when the business changes, without starting again.

How Rapidi connects your software company's systems

Ready-made templates on a secure cloud platform, joining the systems that sell and bill.

ERP and finance

Dynamics 365 Business Central, Finance and Operations, NAV, GP, C5 and Oracle NetSuite. Almost any other ERP, such as SAP or Syspro, connects through the generic interfaces.

CRM and sales

Salesforce, Dynamics 365 Sales and HubSpot, so account executives see accounts, prices and invoice history.

Databases and reporting

Microsoft SQL Server, MySQL, Oracle, IBM DB2 and Google BigQuery, for the reporting layer the business already uses.

Three steps, no developer

  1. Connect. Choose the systems you want to integrate.
  2. Configure. Set up the transfers on screen, field by field.
  3. Sync. Data moves automatically, in real time or on the schedule you set.

What that looks like in practice

QlikTech had customer data spread across nineteen Microsoft Dynamics NAV companies and 400 Salesforce users who needed to see it. Rapidi feeds all nineteen into one Salesforce organisation: accounts, credit status and balance, licence data and invoice numbers go to Salesforce, and won opportunities go straight back to NAV. The first build was tested and rolled out within two weeks.

In their own words

What customers say

“Rapidi is the missing link for us to be able to improve our internal processes and grow our business.”

Jani Kettula
IT Project Manager, ReadSoft

“Choosing Rapidi was easy, the data integration solution fulfilled our requirements regarding the communication between our Microsoft Dynamics NAV and Salesforce. It worked right away and it was affordable.”

Allan Iskov
Business Process Manager, Netop

“Having been able to integrate Microsoft Dynamics NAV and Salesforce, all the needed information is now visible to all our account executives. This makes it easier for our sales people to get an overview of the sales and make statistics without having to switch to other systems. This translates into better customer and partner relationships and in the end, more sales.”

Online Manager, Milestone Systems

Frequently asked questions

Which ERP systems can Rapidi connect for a software company?

Microsoft Dynamics 365 Business Central, Finance and Operations, Dynamics NAV, Dynamics GP, Dynamics C5 and Oracle NetSuite all have their own connector. Rapidi is flexible enough to integrate Salesforce with almost any other ERP, such as SAP or Syspro, through the REST, OData and ODBC interfaces.

We have a separate ERP company for each subsidiary. Can one setup cover them all?

Yes. Rapidi is built for groups that run several companies or databases, so the same configuration can feed more than one entity into the CRM rather than needing an integration per subsidiary.

Our ERP is an older Dynamics NAV, or we are moving between versions. Is that a problem?

No. Rapidi connects Dynamics NAV from the early Navision releases through NAV 2018, as well as Business Central. Older versions connect through C/Front, later ones through SQL and Web Services.

How often does the data move?

In real time when a record changes, or on a schedule you set per object: daily, hourly, every 10 minutes, every minute or triggered, depending on the subscription plan. Won deals can move as they are raised while price lists sync overnight.

Do we need our own developers to run the integration?

No. Transfers are configured on screen, field by field, so the integration does not become a development project.
