Use case
HR Data Integration with Your ERP and CRM
Your HR system knows who works for you. Your ERP, your CRM and your payroll need that data too. Rapidi connects Workday and Dayforce to the rest of your systems through its REST Web Service connection, with no code.
What HR integration covers
Two HR systems are documented on Rapidi today, and they work in opposite directions.
Workday, as the source
Employee master data, positions and the reporting hierarchy move out of Workday into an ERP or CRM, such as Microsoft Dynamics 365. Workday stays the system of record for HR.
Dayforce, most often as the target
Time and pay data from the system where work is recorded moves into Dayforce payroll, as employee pay adjustments and labor metrics, without re-keying.
Who it suits
- You run Workday and want employees, positions and managers in your ERP or CRM without typing them in again.
- Your Workday admin keeps adding fields to reports, and you do not want a developer involved each time.
- Your payroll runs on Dayforce, and hours are recorded in another operational system.
- Timesheets are re-keyed into payroll by hand today.
- You want HR data on the same platform as your other integrations, not on a separate tool.
What moves out of Workday
The most common pattern syncs employee master data, positions and the reporting hierarchy into Microsoft Dynamics 365. It uses four report-based objects.
Employee
The core record: employee ID, company, cost center, hire date, preferred name, work email, active status and termination date.
Position
The current role: position ID, business title, management level and the date of the most recent position change.
Worker assignment
Which worker fills which position, over time, with the date the position was filled.
Position hierarchy
The reporting lines, with valid-from and valid-to dates that keep the history.
The same four shapes apply when the target is Dynamics 365 Business Central, Salesforce or HubSpot. Only the report names and a few target-specific fields change.
What moves into Dayforce
The documented example takes work recorded in the field in Aimsio, an operational system on an SQL database, into Dayforce payroll. It runs in two layers, in a fixed order.
First, reference data
Jobs and assets are added to Dayforce as labor metrics. Dayforce needs each labor metric to exist before a pay adjustment can point at it.
Then, transactions
Timesheet and form entries are added as employee pay adjustments, each carrying the labor metrics created in the first layer.
Running labor metrics first avoids orphaned or failed pay adjustment records in Dayforce.
How it works
Both connectors run on the generic REST Web Service connection, paired with a JSON schema that describes what can be mapped.
- A schema, not code. The JSON schema lists the objects and fields. When the schema says a field exists, it is available to map.
- New fields without a release. Add a field to the Workday report, add it to the schema, and the integration picks it up on its next read. For Dayforce, add the definition and click Read Design.
- One connection per Workday tenant. One schema covers every endpoint in use, so the whole integration runs through a single REST web service connection.
- Scheduled transfers. The shortest interval depends on your plan, from one hour on Entry down to one minute on Unlimited.
- No extra licence. Rapidi is priced per subscription plan rather than per connector, so adding a connection does not change the licence.
Three steps, no developer
- Connect. Choose the systems you want to integrate.
- Configure. Set up the transfers on screen, field by field.
- Sync. Data moves automatically, in real time or on the schedule you set.
Frequently asked questions
Which HR systems can Rapidi connect?
Rapidi documents two HR systems today: Workday and Dayforce. Both connect through the REST Web Service connection with a JSON schema. Other systems with a REST API can usually be reached the same way, so tell us which one you run.
Which way does Workday data move?
One way. Workday is the source, its report output is read-only, and HR data moves from it into an ERP or CRM such as Microsoft Dynamics 365.
What does Rapidi move into Dayforce?
Most often time and pay data from another operational system, added to Dayforce as employee pay adjustments and labor metrics. The schema makes each Dayforce object available to map into or out of Dayforce.
What happens when we add a field in Workday?
Your Workday admin adds the field to the report, and a matching definition is added to the JSON schema. The integration picks up the new field on its next read of the schema, with no code change and no new release.
How often does HR data move?
On a schedule you set. The shortest interval depends on your plan, from one hour on Entry down to one minute on Unlimited.
What does an HR connector cost?
Nothing on its own. Rapidi is priced per subscription plan rather than per connector, so adding a connection does not change the licence.
